A self-storage operator wants the office, the tenant gate and the equipment shed on three different levels of access for staff, but every lock on the property currently answers to the same handful of interchangeable keys handed out over the years.

In plain words

In a building shared by several tenants, departments or contractors, master key system design draws a clear line between who needs a broad master and who needs a single change key for their own door. Cleaners, maintenance staff, department heads and the owner typically sit at different levels, and the hierarchy is built to reflect that rather than to make life easier for whoever is issuing keys that week. The chart that results shows every level at a glance, which makes it far simpler to answer a basic question: who can currently get into this room.

Sound familiar?

A dental office wants the front desk to lock up at night without ever holding a key to the room where patient records and controlled supplies are stored. Right now one master key opens both, which nobody is comfortable with once it is pointed out.

How the visit goes

Illustrative locksmith scene — Ashburn
  1. 1

Where a sub-master genuinely earns its place

Not every group of doors needs its own level. The assessment looks for places where a sub-master is a real convenience, such as a department, a floor, or a set of storage rooms used by the same small team, rather than adding levels for their own sake. A hierarchy with more levels than the business actually uses is harder to manage and easier to get wrong later, so this stage is as much about deciding what not to build as it is about what to include, before any pins are cut or any key blanks are ordered.

  2. 2

Working around a building that is already occupied

In an occupied property, doors are rekeyed in a planned order rather than all at once, so a department is never left without a working key partway through a shift. Interim arrangements, such as a temporary key for a door being converted to a new level, are agreed in advance and closed out the same visit they are used. This staged approach lets a business keep operating through the change instead of losing access to parts of the building while the new hierarchy is being built.

  3. 3

A plan for the next new hire or department

Adding someone to the system afterward is usually a matter of consulting the existing chart and issuing them a copy of the authorized key their role already calls for, rather than opening the whole hierarchy back up. A genuinely new combination is only usable on doors whose cylinders are pinned to accept it, so the same chart shows whether that means picking an existing bitting or scheduling a repin, keeping the decision informed rather than improvised.

What affects the quote

  1. 1

    Keyway chosen: standard or restricted

A restricted or patented keyway costs more in blanks and administration than a standard keyway, since duplication is controlled through the manufacturer's authorized record rather than cut anywhere. Higher-risk doors, such as records or cash rooms, often justify that additional control; lower-risk doors may not.

  2. 2

Number of doors and levels involved

A single office with one change key and no sub-master is a simpler project than a multi-floor property with several departments and a top-level master. The quote reflects how many doors are assessed, how many levels are designed, and how many cylinders are pinned to match those levels.

  3. 3

Any optional upgrade chosen along the way

Some businesses use the project as an opportunity to also upgrade a door closer, add a keypad to one entry, or reinforce a strike plate. None of this is required for the master key system itself, and each optional item is quoted as its own line.

Master Key System Design: questions

Advice · (289) 278-0778

Can a master key system be expanded later without redesigning it?

Usually yes, if spare capacity was planned into the keying platform from the start. A new hire is normally handed a copy of the bitting their role already calls for, and a realistic new door can be pinned to accept a combination already reserved for that purpose. A system pinned to its absolute limit on day one has less room to grow, and adding a level to existing doors later can mean repinning cylinders that are already in daily use.

Who should hold the top-level master key?

As few people as the business can genuinely operate with. Every additional holder is another way a full-access key can be lost, borrowed or copied without anyone deciding that should happen. A useful test during design is asking, for each proposed holder, whether they need to open every single door on the property or only a defined group; the second answer usually points to a sub-master instead.

Can electronic locks be part of the same system as mechanical keys?

Yes. Where a property mixes keypad or card doors with mechanical cylinders, the access levels are designed to line up across both, so a department sitting at one sub-master level mechanically holds a matching level electronically. Mechanical override cylinders behind an electronic lock are pinned into the same chart as every other door, so one record still describes the whole property.

What the census means at the door

25%

Newer homes. About 25% of homes in Whitby were built in 1980 or earlier, according to the 2021 Census.

Households in newer homes are often keen on keypads, fobs and phone-controlled locks. Standard doors make installation straightforward, and the locksmith spends more of the visit setting codes and pairing devices than on carpentry.

70%

Mostly houses. Single-detached houses make up about 70% of homes in Whitby (2021 Census).

Detached houses have their own garages, sheds and gates, and each tends to carry a lock chosen on the day it was needed. A locksmith visiting such a home looks at all of them, not just the front door, and brings the whole property up to one standard.
